How 4couple handles your information
Last updated: [insert date before publishing]
1. Our commitment to privacy
4couple is a relationship app for couples, and some of what you share with it is personal: how you feel, what you want to say to your partner, and your mood. We take that seriously. This Privacy Policy (the “Policy”) explains what personal data we collect, why we collect it, what we do with it, and the rights and choices you have. In this Policy, “data”, “personal data” and “information” all refer to personal data as defined under the EU General Data Protection Regulation (the “GDPR”).
This Policy applies when you use our mobile application (the “App”), visit our website at 4couple.ai (the “Website”), or communicate with us. We refer to all of these together as the “Services”. We will notify you when we make significant changes to this Policy. Please read it together with our Terms & Conditions.
2. Who is collecting your data
You know us as 4couple, but as a legal entity we are [Legal entity name], a company registered in Poland at [registered office address] (company number [KRS / NIP / REGON]) (“we”, “us”, “our”). We are the data controller, which means we decide what personal data is collected and how it is used. You can reach us about privacy at [privacy contact email].
3. The information we collect and how we use it
We collect the information below to run the Services, to provide the features you use, and to keep the app secure. Where a piece of information is optional, you do not have to provide it, but some features may not work without it.
Account and identity information
When you create an account we collect your name or nickname, your email address, the password you set (stored securely, never in plain text), and a device identifier and a unique pairing code so we can recognise you and let you link with your partner.
Partner connection information
When you invite or link a partner, we store the connection between your two accounts and what each of you chooses to share. You control this connection and can end it at any time.
Content you create in the app
We collect the content you enter so the Services can respond to you and remember it for you. This includes the messages you write in Translate My Emotions, your conversations with the AI Companion, your mood check-ins in the Mood Checker, the notes and ratings you save in Rate & Remember, your film choices in the Film Chooser, your date plans, and reminders you set.
Some of this content can be personal and revealing. If the content you choose to share includes information that may be considered sensitive under the GDPR (for example about your health, your sex life or your sexual orientation), we process it on the basis of your consent, which you can withdraw at any time by deleting the content or contacting us.
Usage and device information
When you use the Services we collect information about how you use them (which features you open and your general activity), technical information about your device (type, operating system, app version, language), and your IP address, which gives us a general location so we can keep the Services secure. We also collect error and crash reports so we can fix problems.
Support information
When you contact us for help we collect your email address, information about your device so we can diagnose the issue, and anything else you choose to tell us so we can respond to you.
Subscription and payment information
If you buy a subscription, the payment is handled by the app store you downloaded the app from, or by our payment provider. We receive confirmation of your purchase and your subscription status, but we do not collect or store your full card number. Your card details are handled by those providers under their own terms.
Communications and marketing information
We use your email address to send you service messages you need (for example about your account or a change to the Services). Where you have agreed, we may also send you occasional updates, tips or offers about 4couple. You can opt out of marketing messages at any time.
Cookies and similar technologies
The App uses only the storage and identifiers needed to keep you signed in and make the app work. If the Website uses cookies for analytics, we will ask for your consent where required and explain your choices at that point. We do not use advertising cookies (see section 8).
4. How the AI features use your information
Features like Translate My Emotions and the AI Companion use artificial intelligence, and when you use them you are interacting with an AI system, not a human. When you enter text, it is sent securely from the App to our own server and then to our AI provider, which generates the response you see. We route this through a secure server so that access to the AI is controlled and protected.
Our AI provider processes your text only to generate the response and to run the service for us. Under our agreement with them, your content is not used to train their AI models. The Film Chooser also draws film information from a third-party movie database to show you titles and details.
5. Our lawful bases for using your data
Under the GDPR we must have a lawful basis for using your personal data. In plain terms, these are: performance of our contract with you (using your data to provide the Services you signed up for); our legitimate interests in running, securing and improving the Services in a way you would reasonably expect; your consent (which you can withdraw at any time); and compliance with a legal obligation. The table below shows which basis applies to each type of information.
| Information | Lawful basis |
|---|---|
| Account and identity | Performance of our contract; our legitimate interest in running the app securely |
| Partner connection | Performance of our contract; your consent when you choose to link and share |
| Content you create | Performance of our contract; your consent, in particular where the content reveals sensitive information |
| Usage and device | Our legitimate interest in operating, securing and improving the Services |
| Support | Our legitimate interest in helping you and fixing problems |
| Subscription and payment | Performance of our contract; compliance with our legal obligations (for example tax) |
| Communications and marketing | Your consent for marketing messages; our legitimate interest for service messages |
6. Information sharing you control
We do not share your personal data with your partner on our own initiative. When you link your account with your partner's account, you are choosing to share your name and the content you decide to share with them. While your accounts are linked, that shared content is available to your partner until you end the link or delete your account. You stay in control of what you send.
7. Sharing with service providers and other organisations
We never sell your personal data, and we do not disclose it to third parties for their own marketing. We share the personal data we collect only in order to provide the Services, in the ways below.
Service providers
We work with trusted companies that carry out functions on our behalf. They may only use your data to provide their service to us, and only the personal data needed for that purpose. They fall into these categories:
- Hosting and infrastructure providers that host our database and secure servers, manage sign-in, and store your account and app data.
- Artificial intelligence providers that process the text you enter to generate the responses in Translate My Emotions and the AI Companion.
- Content and data providers that supply information shown in the app, such as film details in the Film Chooser.
- App store and payment providers that distribute the app and handle subscription payments.
Other organisations
We may share personal data with other organisations where the law or a public authority requires it; where we need to establish, exercise or defend legal rights (including sharing with our professional advisers); or if we sell or transfer part of our business, in which case the organisation receiving your data may use it as described in this Policy or an equally protective one.
8. Advertising
4couple does not show third-party advertising, does not use advertising or tracking networks, and does not sell or share your personal data for advertising. We would rather grow by being trusted with your personal information than by monetising it.
9. Where your data is stored and sent
Your data is stored on secure servers provided by our hosting partner. Some of our providers, including our AI provider, may process data outside the European Economic Area, for example in the United States. Where that happens, we rely on the safeguards allowed under EU law (such as the European Commission's Standard Contractual Clauses) so that your data keeps a similar level of protection wherever it is handled.
10. How long we keep your data
We keep your information for as long as you have an account with us, so the Services can remember your history and work as you expect. If you delete your account, we delete or anonymise your personal data within a reasonable period, except where we need to keep something to meet a legal, tax, security or dispute-related obligation. In deciding how long to keep data, we consider its amount, nature and sensitivity, the potential risk from unauthorised use, and the purposes for which we hold it. You can ask us to delete your data sooner at any time.
11. How we protect your data
We use technical and organisational measures to protect your information, including encryption in transit, controlled access to our systems, and keeping sensitive keys on the server rather than in the app. We limit access to your personal data to people who need it to provide the Services or do their jobs. No system or transmission over the internet is ever perfectly secure, but we work to protect your data and to respond quickly if a problem arises. Because 4couple can hold personal thoughts and feelings, we treat this content with particular care.
12. Your rights
Under the GDPR you have the following rights over your personal data. To exercise any of them, contact us at [privacy contact email].
- Access: ask us to confirm what personal data we hold about you and to give you a copy.
- Correction: ask us to correct information that is inaccurate or incomplete.
- Deletion: ask us to delete your personal data in certain circumstances, for example where we no longer need it or you withdraw your consent.
- Portability: ask us to give you certain data in a portable, commonly used format so you can take it elsewhere.
- Restriction and objection: ask us to restrict or object to our use of your data in certain circumstances.
- Object to marketing: ask us to stop using your data to send you marketing at any time.
- Withdraw consent: where we rely on your consent, withdraw it at any time (this does not affect processing we carried out before you withdrew it).
Using these rights is free, and we will respond within the time required by law. If you are unhappy with how we handle your data, you can complain to the Polish data protection authority, the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, “UODO”), at uodo.gov.pl, or to the data protection authority in your own country.
13. Children's data
You must be at least 16 years old to use 4couple. We do not knowingly collect personal data from children under 16. If you are under 16, please do not send us any information about yourself. If we become aware that we hold the personal data of a child under 16, we will delete it as soon as possible in line with the law.
14. Changes to this Policy
We may update this Policy from time to time, for example if we add a feature or change a provider. If we make an important change, we will let you know in the app or by email. The date at the top shows when it was last updated.
15. How to contact us
If you have any questions about how we collect, store and use your personal data, or you want to exercise any of your rights, email us at [privacy contact email], or write to us at [Legal entity name], [registered office address], Poland.
